Hives for Heroes® is committed to responsible stewardship of all funds. Expenses submitted through Open Collective must directly support our mission of serving Service Members, Veterans, and First Responders through beekeeping, community, and conservation.

What Expenses Are Allowed

We approve expenses that align with mission-driven activities, including:

Program delivery (training, equipment, events, scholarships)
Community engagement and outreach
Technology and platform development (including BeeX)
Operational needs (shipping, supplies, administrative support)
Marketing and awareness that drives mission impact

All expenses must be reasonable, necessary, and aligned with our core values.

Submission Requirements

To be approved, expenses must include:

Clear description of purpose and impact
Valid receipt or invoice
Accurate amount and connection to a specific program, event, or initiative

Incomplete submissions may be declined or returned for clarification.

Approval Process

Expenses are reviewed by designated Hives for Heroes leadership or fiscal hosts.
We aim to review submissions promptly while ensuring proper oversight.
We reserve the right to approve, partially approve, or decline any expense.

Non-Allowable Expenses

We do not approve:

Personal expenses unrelated to the mission
Excessive or luxury spending
Political contributions or lobbying outside approved efforts
Any expense that conflicts with our legal, ethical, or organizational standards

Reimbursements

Expenses should be submitted within 30 days of purchase. Reimbursements are processed after approval through Open Collective.

Our Commitment

We operate with transparency and integrity. All expenses may be publicly visible through Open Collective, reinforcing trust with our contributors and community.
