Lastly, they discussed the event menu, deciding to remove bacon due to its high cost, and agreed to meet regularly to monitor progress.

Next steps
  • Michael to iterate on logos 1 and 4, and send Harper PNG/SVG versions for updating social media profiles
  • Michael to create a horizontal version of the logo with "Barcamp" on the left and "Philly" on the right for social media header images
  • Antonio to reach out to catering companies for food quotes, including options with and without bacon

BarCamp Event Planning and Marketing

The team discussed the upcoming BarCamp event, which is scheduled for October 5th. Jess and Harper emphasized the importance of early outreach and marketing, with Harper confirming he has a social media strategy in place and needs only to update the date. They also discussed sourcing photos for marketing purposes, with Harper agreeing to post in the Philly Slack and other relevant channels to gather more images. Lastly, Harper committed to reaching out to the Technically team to add the event to their website, and he will also share relevant contact information with Chris for his Philly site.

The team also considered the use of a social media posting service like Hootsuite for their upcoming project, but concerns were raised about available funds. They decided to further discuss costs and potential alternatives in their next meeting, while also considering other aspects for the bar camp.

Merchandise Design and Logo Discussion
The team, consisting of Jess, Harper, Michael, and Steve, deliberated on the design of their merchandise, focusing on incorporating the colors of the Philadelphia City flag. They considered various designs, from subtle to bold, and agreed on a new logo that reflected the city's identity.
Harper will send a test email via Mailchimp with guidelines. Michael presented various logo and color scheme iterations, and they agreed to gather feedback with Harper and Michael discussing further details. He sought feedback on color preferences, the inclusion of the Philly skyline, and the font choice.
Michael was tasked with providing Harper with the PNG and SVG versions of the logo for social media updates, and the possibility of an animated version was also discussed. The team also considered the inclusion of sponsor logos and expressed a preference for colored T-shirts over white ones for the upcoming year.

T-Shirt Design
The team discussed the design of T-shirts for their organization, agreeing on two complementary colors and a logo without a background. They aimed to finalize the design by the end of Wednesday.

Barcamp Philly Speaking Spot Proposal
Harper proposed offering a speaking spot at Barcamp Philly to another organization in exchange for their help with communications. This idea was positively received by the team, with Jess noting that it could be a good way for other organizations to get involved. Maleen agreed, suggesting that it could provide useful feedback for future events. Charlie compared this to a similar arrangement at the Transportation Camp DC, where a keynote speaker is provided in exchange for relevant content. The team agreed that this approach could be a beneficial "freebie" for smaller organizations seeking publicity.

Event Menu Changes and Catering Plans
Antonio discussed the decision to remove bacon from the event menu due to its high cost, but noted that it was a signature item of the Bar camp. Jess agreed that while bacon was nice, other items should take priority. Antonio planned to reach out to potential caterers for a quote. Michael mentioned that he had contacts in the catering industry. The team decided to meet every Monday to monitor progress. Jess and Michael agreed to draft a more serious email to the team, outlining the needs and tasks. Charlie assured the team that he would handle the merchandise, including obtaining vector logos and arranging for shirt proofs.
