Expenses Policy
All expenses incurred by the campaign will be in line with the Electoral Commission’s rules for engagement in elections by Third Party entities. Lambeth Votes Palestine works across parties who support the Palestinian cause, and is explicitly not party political.
We expect that the expense policy will cover expenditures such as:
· Printing costs – for leaflets, posters or other types of printed information
· Meeting costs – for public forums in the community, such as community outreach
· In cases where needed, we may be able to cover transport costs as a part of outreach
· Social media costs, such as making short films to upload to social media
· Recurring campaign costs, such as subscriptions to administrative software etc
All expenses submitted must be legitimate, documented and related to the campaign. Expenses can be submitted via email or with prior approval through the Open Collective portal.
All expenses must have a named person, with contact details so that these can be checked and verified. All expenses will be reviewed within 10 days by LVP and paid through the platform on a Tuesday or a Friday after the approval date.

Outreach
Outreach will include voter information for voter registration, as well as how to vote tactically in the elections.
Expenses will cover printing costs for all forms of physical media. If an outreach volunteer needs to have costs for transport covered, they should contact their ward coordinator to get approval for this first.
If there are any further issues, volunteers can contact the campaign admin via email.
Public forums
We expect to conduct a limited number of public forums, depending on take up in each local area. Expenses will be expected to cover promotion activities (leaflets/posters etc), room rental, refreshments, hiring of specialist equipment (projectors etc). We do not expect to cover speaker fees. On a case by case basis we may approve travel expenses, but prior approval is needed from the campaign admin team. This may include train, bus, or petrol costs. Where large equipment needs to be transported this may also include taxi costs.
Social media costs
The campaign expects to use social media films etc to spread the message. This will include on-street filming. We expect to use minimal equipment for this, e.g. mobile phones, microphones etc. We may need to rent or buy additional equipment that the campaign does not have.
All expenses for social media need to be pre-approved. A budget for film production should detail expected expenses and how these will be covered. Approval for a planned budget will be issued promptly if there are costs to be incurred.
Types of costs we will not cover
We do not expect to cover the following costs:
· Food costs for volunteers doing outreach
· Any speaker fees
· Any publication fees
· Any party membership costs
· National costs e.g. travel to conferences which are not directly related to the campaign work in Lambeth

How do I get paid from a Collective?

How are expenses approved?
Collective admins are notified when an expense is submitted, and they can approve or reject it.
Is my private data made public?
No. Only the expense amount and description are public. Attachments, payment info, emails and addresses are only visible to you and the admins.
When will I get paid?
Payments are processed by the Collective's Fiscal Host, the organization that hold funds on their behalf. Many Fiscal Hosts pay expenses weekly, but each one is different.
Why do you need my legal name?
The display name is public and the legal name is private, appearing on receipts, invoices, and other official documentation used for tax and accounting purposes.
