Expense policies
Please make sure you type your full name and not just an initial. For example ‘John Smith’ instead of ‘J Smith’.
This expense policy exists to ensure transparency, fairness, and clarity around how funds are spent and reimbursed for the UN / PARA / LD (Unparalleled) project. We want contributors, collaborators, and community members to feel confident when incurring approved costs on behalf of the project.
UN / PARA / LD is a community-led project focused on accessible, inclusive, and circular outdoor apparel, co-designed by disabled people for disabled people.
What we spend money on
We accept expenses that directly support the delivery of the UN / PARA / LD project, including:
- Materials and equipment for adapting, repairing, or producing adaptive alpine apparel
- Payments to disabled designers, makers, athletes, and collaborators (with prior agreement)
- Prototyping, testing, and co-design workshop costs
- Studio, workspace, or venue hire related to project activity
- Travel and transport costs required to participate in project work (economy / accessible options only)
- Shipping, postage, and logistics
- Marketing, documentation, film, photography, and communications directly related to the project
- Professional services (e.g. design, facilitation, pattern-making, accessibility support) with prior approval
What we do not cover
We do not accept expenses for:
- Personal purchases unrelated to the project
- Alcohol, entertainment, or fines
- Travel upgrades or luxury accommodation
- Expenses without receipts or clear documentation
- Costs that have not been agreed in advance (except in exceptional circumstances)
Approval & limits
- Wherever possible, expenses should be discussed and agreed in advance with a project lead.
- There is no fixed minimum spend. Larger or unusual expenses may require additional approval.
- Subcontractor or professional fees must be agreed before work begins.
Submitting an expense
To submit an expense via Open Collective, please include:
- A clear description of what the expense is for and how it relates to UN / PARA / LD
- A valid receipt or invoice showing the date, amount, and supplier
- Any relevant context or prior approval details in the “additional information” section
If you have questions or are unsure whether something is eligible, please contact the project team before submitting.
Review & payment
- Expenses are reviewed on a rolling basis by the project leads.
Once approved, payments are processed by The Social Change Nest and paid out on Tuesdays and Fridays.
